The story

Invoices sent the day a milestone closes, chased in the studio's own voice.

A 14-person design studio raised invoices at month end and chased them when the founder remembered. Now the invoice leaves within an hour of a milestone being marked done, reminders follow on day 7, 14 and 21, and the accountant sees a reconciled ledger each morning. Average days to payment went from 41 to 32, and the founder has not sent a reminder since March.

Two people building a workflow at a desk, screens lit

  1. Mapped the week

We sat with the people who do the work and drew every hand-off on one whiteboard: where a record is typed twice, where a reply waits, where a spreadsheet is rebuilt.

    Week 1
  2. Wired the trigger

The workflow starts from the event the team already produces: a booking, a closed job, a form, a payment. Nobody has to remember to press anything.

    Week 2
  3. Built the steps

Each step reads from the client's own systems and writes back to them under their own logins. Every run leaves a line in the log.

    Week 3
  4. Ran it beside the team

Two weeks in parallel with the old way: the numbers were compared every morning, the edge cases added, and then the manual path was switched off.

In the client's words
They mapped the whole invoice-to-cash process on a whiteboard in the first meeting and had it running inside three weeks. We get paid nine days faster and I have not sent a reminder since.
